Every comparison publishes a feature grid and a price grid, and both are stale within a quarter. What has not converged is what each vendor is actually selling underneath the documents.

Short answer

Google Workspace vs Microsoft 365 is almost never decided by the documents. Both suites have email, files, chat, video and an office application for every job, and any feature table comparing them is out of date within a quarter.

The decision that survives is the layer underneath: Microsoft 365 sells an identity and device management platform with an office suite attached, and Google Workspace sells a collaboration suite with identity attached. If a business runs Windows laptops, has anything left on a domain, or has a compliance requirement written by somebody else, that layer decides it.

Search Google Workspace vs Microsoft 365 and every result is the same two tables: features across the top, prices down the side. Both are honest and neither one helps, for two reasons.

The first is convergence. Google Workspace has a spreadsheet, Microsoft 365 has a spreadsheet. Google has video calls, Microsoft has video calls. There was a decade when the gaps in features were real and it ended. The remaining differences are matters of taste that users adapt to in a fortnight.

The second is decay. Feature tables and price tables are the two things in this comparison that change every quarter, and a page comparing them is stale before it ranks. A published price per user is a hostage to a pricing page.

What has not converged, and what a list of features cannot show, is what each cloud suite is actually selling. That is the comparison worth making.

The real choiceWhat you are really choosing

Microsoft 365 is an identity platform with productivity applications attached. Buy it and you are buying Microsoft Entra ID, the directory service that was called Azure Active Directory until Microsoft renamed it: announced in July 2023, with the SKU and service plan display names changing on 1 October 2023, and with licensing, pricing, terms and service levels unchanged.

Microsoft states plainly that Entra ID continues to be included in Microsoft 365 enterprise and business premium offers.

That identity layer is the Microsoft 365 product. Single sign on to third party apps, conditional access policies, multi factor enforcement, group based licensing, device enrollment and compliance policies all live there, and the Office apps sit on top of it.

Google Workspace is a collaboration platform with identity attached. The Google Workspace admin console does real identity work, including single sign on, device policies and context aware access, and for a business whose devices are laptops running a browser it is enough. But identity is a supporting service in Google Workspace rather than the point of it.

The practical test is short. List the things in your business that need to know who a user is: the VPN, the line of business application, the file server, the phone system, the wireless network. If that list is long and Windows shaped, Microsoft 365 already speaks to it and Google Workspace needs a connector.

One detail worth knowing because it trips up the reading of every Microsoft document: Windows Server Active Directory did not get renamed. Microsoft says the rename was partly to reduce confusion between the on premises directory and the cloud one.

So Active Directory means the thing in your server room, and Entra ID means the thing in the cloud, and a page that uses them interchangeably was written before 2023.

Microsoft documents Business Premium as covering up to 300 users, and describes it as providing secure access to business data, defense against phishing, ransomware and data loss, and management of Windows, Mac, iOS and Android devices.

Read that list and notice how much of it is the reason a business chooses Microsoft 365 at all. A business that buys the cheaper standard tier to save money has bought the Office apps and none of the security platform, which is the half that justified the decision.

That is the single most expensive mistake available in this comparison, and it is made in the same conversation where somebody compares the two brands on price.

Three differences are worth knowing. Google's apps were built for the browser, so several users editing one document in real time is the default. Microsoft's apps were built for the desktop, so Excel and Outlook have advanced features that power users will miss. And Teams is one hub where Google splits chat and meetings.

One licensing detail: Microsoft's own licensing pages refer to business subscriptions that do not include Teams. Check the exact plan name on a quote before assuming Teams is in it.

Plans and AIPlans, pricing structure and AI

Any Google Workspace vs Microsoft 365 pricing comparison should start with how the plans are built, because that outlasts the numbers.

Google Workspace plans. Google's pricing page, read on 17 September 2026, lists four: Business Starter, Business Standard, Business Plus and Enterprise. It states that Starter, Standard and Plus can be purchased for a maximum of 300 users and that Enterprise has no user limit.

Storage on that page is pooled per person and grows with the plan: 30 GB on Starter, 2 TB on Standard and 5 TB on Plus.

The security features climb the same ladder. Google lists Vault, eDiscovery and advanced endpoint management from Business Plus. Data loss prevention, context aware access and enterprise data regions appear only in the Enterprise column.

Microsoft 365 plans. Microsoft's business plans are Business Basic, Business Standard and Business Premium, also capped at 300 users, with the enterprise E3 and E5 plans above them. Basic is web and mobile apps with email. Standard adds the desktop apps. Premium adds the advanced security and device management tools.

This page prints no Microsoft prices or storage figures, because we could not confirm them at the source on the day of writing. Read the plans on Microsoft's site on the day you buy, per user and per term.

AI. The two vendors package it differently. Google's pricing page lists the Gemini AI assistant inside the plans: in Gmail on Starter, and in Gmail, Docs, Meet and more from Standard.

Microsoft's licensing documentation describes Copilot as an add-on license that requires an eligible Microsoft 365 plan, with a basic Copilot Chat included at no extra cost.

So the fair comparison for small business is plan against plan with the add-ons you would actually buy: a Google plan with Gemini included against a Microsoft plan plus a Copilot license, or Business Plus against Business Premium when security is the point.

MigrationWhat migration actually costs

Both directions are possible and neither is symmetric.

Email is the easy part. Both Google Workspace and Microsoft 365 have data migration tools, both can run a coexistence period, and mailboxes move with acceptable fidelity.

Files are harder than expected. Not the bytes of cloud storage, the behaviors. Shared drive permissions, links embedded in documents, anything with a script or a macro, and the folder structures each user built around one platform's sharing model.

Identity is the hard part and it is where the asymmetry lives. Moving from Google Workspace to Microsoft 365 usually means building an identity platform that did not exist, and gaining capability.

Moving from Microsoft 365 to Google Workspace means unpicking one that everything is already connected to: every app using single sign on, every conditional access policy, every enrolled device. The second direction is materially more work than the first at the same headcount, and quotes rarely reflect it.

This asymmetry is a reason to take the decision seriously at the start rather than a reason to never move. But it does mean the honest question at a renewal is not whether Google Workspace or Microsoft 365 is better; it is whether the difference is worth the identity project.

PitfallsWhere people go wrong

Comparing features and then being surprised by the platform. The documents and the apps are equivalent. The identity and device layer is not, and it is where the operational difference shows up in year two.

Buying the wrong Microsoft 365 tier. Choosing Microsoft 365 for the security and management, then buying the tier that has neither, is the most expensive version of getting this right and wrong at once.

Treating the price comparison as the decision. Google Workspace and Microsoft 365 are close enough per user that the difference is dwarfed by the cost of running the wrong identity platform for the estate you actually have.

Ignoring what already authenticates against the directory. The VPN, the wireless network, the file server and the line of business application each have an opinion about this decision and none of them appear in a list of features.

Assuming either cloud vendor backs up your data for you. Both keep the service running. Retention of your data against deletion, ransomware and departing administrators is a separate purchase on both, which is the backup and disaster recovery conversation.

Reading documentation written before the rename. Any Google Workspace vs Microsoft 365 comparison using Azure AD and Active Directory as if they were the same thing predates October 2023, and is worth checking on every other claim too.

Microsoft documents it as being for small and medium sized businesses of up to 300 users, which is the cap on that plan family.

Which one do most managed service providers recommend?

Microsoft, most of the time, because most of their clients have Windows fleets and the management tooling is what they run their operation on. That is a real reason and it is also a bias worth naming when you receive the recommendation.

Do I still need endpoint protection with either?

Microsoft 365 Business Premium includes endpoint and phishing protection. On Google Workspace, and on the lower Microsoft 365 tiers, endpoint security is a separate purchase.

Does Google Workspace or Microsoft 365 include backup?

Neither does. Both keep the cloud platform running and neither protects your data from you. Third party backup for a productivity suite is a separate product with its own retention terms.

What should I actually compare?

Identity, device management, compliance and security tooling, and what already authenticates against your directory. Those four decide the outcome, and they are the four a list of features never includes.
